FAQ
Questions before planning a Prague event
Quick answers for team-building organizers, HR teams, assistants, agencies, and company-event buyers.
Planning and proposals
What information should we send first?
A date or date range, approximate group size, timing, event goal, preferred style, language needs, venue situation, and budget range are enough to begin.
Does submitting the form create a booking?
No. It starts a planning conversation. A booking becomes binding only after the written proposal or confirmation is accepted and any stated deposit or confirmation requirement is completed.
Can you recommend the right activity?
Yes. We normally recommend a short list based on group profile, desired energy, timing, venue, season, language, and budget.
Can you organise the full event?
Yes. A proposal can include activities, venues, meals, drinks, transport, facilitation, entertainment, AV, and supplier coordination.
How long is a proposal valid?
The validity period appears in the proposal. Availability and supplier pricing may need to be reconfirmed after that date.
Pricing, invoices, and payment
Are website prices binding?
Website examples are indicative unless clearly stated otherwise. The written proposal and final confirmation set the price and inclusions for your event.
Is VAT included?
The proposal states whether VAT is included or added and identifies the applicable currency.
How do we pay?
Most bookings are paid by bank transfer against an invoice or advance invoice.
Can we pay by credit card?
Sometimes. Where agreed, we issue a separate secure payment link connected to the invoice. The payment page shows the supported card types.
Should we email card details?
No. Prague Adventures will never ask you to email card numbers or security codes.
Is a deposit required?
That depends on the event and supplier commitments. Any deposit or advance-payment requirement is stated in the proposal.
Changes and cancellation
Can we change the group size?
Usually, subject to supplier deadlines and capacity. Tell us as soon as possible so we can confirm the price and operational effect.
What are the cancellation terms?
The cancellation schedule is stated in the accepted proposal or confirmation because supplier commitments vary by event.
Can we move the event to another date?
Often, subject to availability and supplier terms. We will explain which payments can be transferred and which costs are already non-refundable.
What happens if weather is poor?
We plan with seasonal awareness and may adjust timing, format, or route. Where appropriate, the proposal can include an indoor or wet-weather option.
What if a supplier or venue becomes unavailable?
We will propose a reasonably comparable alternative and consult you before any material change whenever possible.
Participants and event delivery
When are final numbers due?
The proposal or planning schedule states the deadline. Final charges may be based on the confirmed number or agreed minimum guarantee.
Can you accommodate dietary requirements?
Yes, where suitable options are available. Send requirements early and we will confirm arrangements with the relevant caterer or venue.
Can you accommodate accessibility needs?
We will assess the activity, venue, and transport requirements and explain what can be accommodated. Essential arrangements should be confirmed in writing.
Who is responsible for participant conduct?
Participants must follow facilitator, supplier, and venue instructions. The client should share practical and safety information with the group.
Do you use external suppliers?
Yes. Events often involve trusted venues, caterers, transport providers, facilitators, and performers coordinated by Prague Adventures.
Contact and privacy
Why use the proposal form instead of a public phone number?
The form gives us the information needed for a useful first response and protects the business from spam, automated calls, and low-quality enquiries.
How is proposal data used?
We use it to respond, recommend suitable options, prepare a proposal, plan a confirmed event, prevent abuse, and maintain necessary business records.
Is the form asking for marketing consent?
No. The proposal form is for responding to your request. Any newsletter or promotional consent should be separate and optional.
How do I make a privacy request or complaint?
Use the protected contact form and select the relevant subject, or email info@pragueadventures.cz, so the request reaches the correct workflow.
May photographs or video from an event appear in Prague Adventures marketing?
Occasionally, selected images may be used to show our programmes and events in action, including on our website, social media, proposals, or presentations, where permitted by law. We take reasonable steps to respect participants' privacy. Organisers with specific photography requirements should tell us before the event where possible, and concerns about a published image can be raised through the protected contact form or by email.
